Setting up your studio
- A list of steps, in order, to get your studio ready before you open bookings to clients.
- Each step links to the page that explains it in full.
- If a menu entry is missing, that module isn't active for your studio: ask support.
Follow the steps in this order: each one uses what you set up before. For example, a service needs a location and an instructor, and a plan needs services with times.
1. Logo and colours
In Administration > Brand identity, upload your logo and choose your colours. In Administration > App experience > Login, check how the sign-in screen looks.
See Brand and identity. If you don't see these entries, the Flò team takes care of the app's look.
2. Studio details and locations
In Organization > Locations, press New location and enter the address and time zone. Then in Organization > Activity, Profile tab, fill in the name, email, phone, and main location.
3. The team
Create a user for each instructor in People > Users, with the Professional role. Then complete their profile in People > Team.
4. Services, times, and capacity
In Organization > Services, press Add activity. Fill in the title, instructor, and location, then in the Schedules section choose the days and add the slots with their Capacity. Save.
See Services.
5. Plans and subscriptions
In Booking > Studio plans, press Add Plan: choose the type, the price, and the included services. Linking a service to a plan makes it bookable, so do it after you've added the times.
See Subscriptions.
6. Booking rules
In Organization > Activity, Bookings tab, set the Booking notice, the refund notice for cancellations, and the Daily limit. Press Save rules. If you like, switch on Lesson reminders too.
See Booking rules.
7. Closures and holidays
In Booking > Closures, press Add Closure for the holidays and breaks you already know about. Doing it now saves you from cancelling bookings later.
See Closures.
8. Invite your clients
Create your clients in People > Users: they get an email to activate their account. For anyone who already has a subscription, assign it from their user record with Assign subscription.
See Users and Assigning a subscription.
9. Try a booking as a client
Create a test client with an email address of your own, assign them a subscription, and sign in with that account. Book a lesson from Book, then cancel it. Check that the emails arrive and that entries come back as you expect.
If something isn't right, see Solving common problems.
10. Install the app
In Administration > App experience > App installation you'll find the link and QR code to share with staff and clients. Install the app on your own phone too.
See App installation and the client guide Put Flo on your phone.
